GREATFIELD PARENTS ASSOCIATIONMeeting was held on Tuesday 9th January 2007 at 8.00pm
Present: Jane Cantwell, Andy Holmes, Amanda Kavanagh, Mr Goosen, Petch Webb, Julie Greenwood, Sarah Scammel, Sadie Owen.

TREASURERS REPORT
£4,860.00. This includes incomes from Ladies Night and School Christmas Disco
Payment will be needed for the new school books and this will be looked at around the 14-16th February.
EXPENDITURES
Insurance renewal form to be completed which will cost £85 with a few minor amendments. Lottery License to be completed.
Back to School Disco Saturday 24th February 2007
Disco is booked at a cost of £150, set up will be from 7.00pm Doors Opening 7.30pm/8.00pm. Bar open until 11.30pm finish by 12.00 midnight. Tickets £5 each. There will be a raffle, so if there are any unwanted Christmas presents that you would like to donate to a good cause then please send into school marked 'GPA Back to School Disco'.
Petch has offered to do a Poster and hand to some local shops. Amanda has offered to put up some posters along the Bath road. Julie to organize and print tickets. Sarah will help with the selling of the tickets. Sadie has offered to produce an advance Notice for the Disco, which will be given out at the school.
Race Night - Friday 23rd March 2007
Jane to confirm with John that this date is still okay. Andy to see if he can get together some raffle prizes from Restaurant/takeaway etc and Sarah will ask her contact at Pizza Hut.
Sponsored Bounce - Friday 18th May 2007 1.00pm to 3.00pm
Jane to check with Mrs Thomas that this date and time will be okay for the GPA sponsored bounce. I f all is okay then to go ahead with the booking of the bouncy castle. Sarah will check with a friend as to the time scale in which this event my take. Then helpers will be needed on the day to help count each child's number of bounces. Notice will be out nearer the time once all details have been confirmed.

TREASURER?S REPORT
£4,264 Currently in GPA Account ? cheque for Wildlife area has been processed. Hand-over of paperwork/books to new Treasurer, Andy Holmes, to be completed in near future.
REQUESTS FOR EXPENDITURE
Mrs Thomas? suggestion of the pergola was discussed in greater detail. Mr Goosen explained the anticipated cost would be c£9,200 including VAT. The pergola would be large enough for a whole class to sit inside, though no planning permission would be required. It was thought that the pergola may not be wholly funded by GPA, but the GPA may be able to supply part funding. Mr Goosen to liaise with Mrs Thomas regarding timescales and actual costs.
FUNDRAISING EVENTS
Ladies? Night ? Events for the evening discussed, as well as layout for fashion show and stalls/tables. Chairs will be available for seating. Emphasis would be placed on fashion show and raffle. ?Mistress of Ceremonies? will be Jane Cantwell, Raffle ticket sales will be handled by Jane, Caron Forbes and Sadie Owen. Jacquie Adams has obtained a license for the night. Jane Cantwell to speak with Mrs Thomas about keeping school open and Mr Goosen will lock up at the end of the night. Jane Cantwell will also speak with Julie Greenwood to see whether Ian Dicks has glasses available. PA system to be organised by Mr Goosen.
School Christmas Disco ? Date confirmed as Friday, 1 December. ?DJ Hawker? booked for £30. Caron Forbes had e-mailed Disco letter for photocopying by school. On sale at the Disco will be sweets, crisps, squash and possibly cola and lemonade. Glow in the dark ?glow sticks? would also be looked at, and may be on sale if commercially viable! Caron Forbes to request a class list from Mrs Smith.
Race Night ? John Jones to run the Race Night ? favoured date of Friday, 23 March 2007 (post Cheltenham Gold Cup) to be confirmed.
Additional fundraising ideas discussed were possibility of holding a junior fashion show, and a Car Boot Sale ? Jane Cantwell to liaise with Sharon Colquhoun re the latter. Sally Coleman raised the idea of a sponsored ?bounce?, with a bouncy castle ? possibly next Easter.
WEBSITE UPDATE
Dave Fleet and Mr Goosen have been working together to update the school website. A GPA slot will be available and should include what the aims of the GPA are, forthcoming events, photos of events and minutes of the previous six months? meetings.
ANY OTHER BUSINESS
Caron Forbes presented further feedback on Events Questionnaires returned by parents ? only 15 responses received ? Swimarathon was the least popular event, and the Summer Fete the most popular ? Ladies? Night also proved very popular.
Potential additional events to be held ? Adult disco sometime in late January 2007 with the possible venue of Hatherley Cricket Club with a ?Back to School? theme. Raffle to be included. Jane Cantwell to talk with Ian Dicks over availability/dates.

Petch will check into the interest on the bank account and will let committee know.
Request for Expenditure: Mrs Thomas to confirm final amount payment of the restock of some of the school books which is between £2,500/£3,000. British Gas will help sponsor the wildlife area.
Mrs Thomas suggested a quiet place for children to go perhaps a pergola in the play area where the hexagon bench currently is, she will look in the cost and come back to the GPA.
COMMITTEE MEMBERS
Treasurer ? Petch is to stand down as treasurer and Andy Holmes has kindly offered to take her place. This was seconded by everyone at the meeting
Chair ? Jane Cantwell will continue.
Secretary ? Caron Forbes will continue as secretary. But will need extra help in chasing up any donations from local businesses for the June summer fete. Anyone interested please let Caron know.
Minutes ? Amanda Kavanagh will continue to take minutes, Mel Shorthouse has kindly offered to help with the minutes if Amanda is unable to attend.
Posters- Emma Brownlie has offered to continue putting up the poster reminding parents of the meeting and will also be in charge of any photocopying.
LADIES NIGHT- Friday 24th November
The main feature this year will be a fashion show with 7 ½ % commission six models will be required to models various clothing/shoes etc. Clothes will be on sale on the night and from sizes 8 ? 22. Caron will look into the changing area for the models. Jacqui Adams will sort out the alcohol license. There will be other stall holders who will be paying from £15 per table. These will include from Gail Burden £15 gifts and jewellery, Caroline Mc Killan £30 Jewelery, Sandra Hutton £15 gifts for the children, Jane Kay ? Jewelery hair accessories soaps and gifts, Analaise - £30 Jewelry Scarf?s Glam, Sue Brown with Phoenix Cards and Chocoholics Catalogue which is being circulated around the school in each year group
Chocoholic?s catalogue will be circulated by the following people for each school year.

Virgin Vie ? will be looking into someone from Virgin Vie coming to ladies night, Sally Coleman to check and will let Caron know.
Will need to look into buying some alcohol. Check with Ian Dicks for wine glasses and ½ pint glasses if he is unable to help then will order some, Julie to let Jane know.
Caron to send out Ladies Night poster after the ½ term break
Christmas disco 1st December - infants from 6.00pm to 7.00pm and juniors from 7.15pm to 8.30pm. Parents to help and letter will go out nearer the time. Cost £1 per child but maximum of £2 per family.
QUESTIONNAIRES ? the GPA sent out a questionnaire to all parents and unfortunately only 11 replies came back. A few comments have been noted but we would like more feed back from parents new and old please.
SWIMMARATHON - This seems to be a hard event to continue doing each year. We have found it harder and harder for people, adults and students to come forward. It was decided that this event should be done every other year.

Treasurers Report Petch will be standing down as treasurer but has agreed to stay on until the AGM in October 2006 (Date to be confirmed)
Fete June 2006 The fete was another success, again thank you to all the helpers. We discussed what went well and what was not so good at the fete
Entrance fee to the fete needs to be a little more specific about unaccompanied children whether they should be charged the same as the adult rate of 50p,
Refreshments/Cakes/Ice Creams/Bar
We need to look into having more helpers as this year at certain times there was not enough, 2 x Cakes, 1 x Ice Cream, 1 x Soft Drinks and 2 x Bar, with the possibility of a floater which could help.
Tombola and Football Tombola, Books all good. Teddy Bear Tombola went really well but as we had so many donated teddies we need to look into increasing sales perhaps instead of just 25p a go (25p a go or 50p for 3 goes)
Lucky envelopes ? Good, need to make sure any good prizes on this stall to be advertised along with any other prizes which you may win, perhaps on a poster, making sure all prizes are mixed up, may have more other small prizes such as have a free go on another stall, bouncy castle, knock the cans, teddy bear Tombola or similar as well as Free Cake/Ice Cream or Soft Drink.
Bouncy Castle ? unfortunately this made a big loss, next year we need to look into booking this early and discuss charges depending upon cost of hire.
Tattoos, this did make a loss but we did invest and bought some which will hopefully last a while. Guess the Sweets ? this unfortunately made a loss, this needs to be promoted more perhaps over the speaker system on the day of the fete. Name the Teddy ? Again this needs to be promoted more, made a little profit
Lucky Dip ? this made a loss we charged 20p this year but will do it again next year, with an increase of 50p which is more realistic. We had positive feed back from quite a few parents saying it was nice to see a stall which was not giving away sweets.
School uniform- made a little profit perhaps a promotion to sell old and the new ones which can be bought from the main office. (Jane to speak to Mrs Thomas)
Information sheets ? we need to look into producing individual sheets for each of the stalls explaining what needs to be done, and all helpers must arrive earlier for change over.
Crafts ? This was a very good idea which unfortunately made a loss, we need more promotion, if we are to do this again. We need to think about the location as many people did not realise where and what they were able to make, perhaps some slightly different ideas needed. Extra Craft Stalls. We need to look into the cost in charging outside stalls which may wish to be at the fete and charge accordingly to what they are selling and how much space they need.
